Product lifecycle platform Runs on your own servers 9 languages · separate data per country

From product to sales channel, one platform.

Orbis Nexa brings the product tree, catalog, bill of materials, change, quality, supply, dealer and marketplace channels, campaigns and customer management into a single platform that runs on your own infrastructure. Your suppliers, dealers and sellers connect to the same system through their own portals.

Sample record; field names and lifecycle stages are the real structure in the product.

On your own servers

Every component, AI included, runs inside your infrastructure. Data leaves the organisation only through integrations you set up.

End-to-end traceability

From idea to recall and from order to settlement every record is linked; who changed what, and when, is always on file.

External partners in the same system

Separate portals for suppliers, dealers / franchisees and marketplace sellers; orders, shipments, appointments, scorecards and settlements in one record.

Multi-country, multilingual

Each country works with its own data, currency and language. The interface comes in 9 languages, Cyrillic and Arabic included.

Business processes

Three flows, end to end.

Three example processes show how Orbis Nexa is used in daily work. The screens are illustrative; field names, states and numbering are the real structure in the product.

1 · New product

From idea to sales channel

A proposal voted up in the idea pool becomes a product record with one click. Choosing a category builds the product form by inheritance; missing mandatory fields block publication. Review and approval steps come from the workflow; the approved product is sent to the storefront and the connected sales channels automatically.

2 · Change

What happens when a part changes

A change request (ECR) is opened with the affected products and gets an automatic number. The approval step records an electronic signature; at implementation the new BOM revision is frozen and its difference from the previous one (added, removed, quantity changed) is shown on one screen.

3 · Supply

From purchase order to receiving

The purchase order appears in the supplier's portal; the supplier confirms the lines, creates a shipping notice and books a dock appointment based on capacity. At receiving the warehouse counts the quantity; any discrepancy opens a non-conformance record automatically and is reflected in the supplier scorecard.

Modules

The product menu, as it is.

The nine groups below are the real menu structure of the admin panel. Every item is a screen you can open and use today; visibility follows the user's permission package and the licence.

Engineering

A traceable record from BOM to recall.

Product structure, change, document and quality records are linked to each other. Every transition passes through a state machine; invalid transitions are rejected and history is kept.

Bill of materials (BOM) and recipes

  • Multi-level tree, where-used query, cycle protection
  • EBOM and MBOM as parallel revisions; copy EBOM to MBOM
  • Effectivity dates, alternate and phantom components
  • Tagged revision freeze; diff between revisions (added / removed / quantity)
  • Recipe / formula: ratios with total validation; rule-based variant configurator
  • Excel / CSV export, STEP AP242 structure export

Change management (ECR / ECO)

  • Automatic numbering (ECO-0001…), affected products: add / modify / remove
  • Draft → Submitted → In review → Approved → Implemented → Closed; rejection branch
  • Electronic signature record and full history
  • Linked to requirements: “Implemented” needs an ECO, “Verified” needs a sample

Documents and CAD

  • Versioned document store; check-in / check-out lock; approval flow
  • File type and size are validated; files stay in your in-house object store
  • 3D preview: GLB / GLTF / STL rotatable in the browser
  • STEP / IGES / BREP preview
  • Datasheet: printable page and PDF

Quality and traceability

  • Non-conformance (NCR) and CAPA; receiving discrepancies open an NCR automatically
  • Lot / serial records, genealogy, recall, automatic quarantine
  • Requirement traceability: coverage percentage, unverified mandatory items
  • Restricted-substance check (RoHS / REACH) per homogeneous material
  • Recycled content and carbon footprint derived from material declarations; missing-factor warnings
Artificial intelligence

The models run inside your organisation.

The language model and the search index run on your infrastructure; catalog data is never sent to a cloud AI service. The application itself opens outward as far as you decide: the storefront, the portals and agent connections work under your authorisation.

Language modelIn-house
Search indexIn-house
Cloud AI serviceNot used
Usage and costVisible in the panel; reduced by caching
Agent accessVia MCP; permission-based, write optional

Semantic search and vector explorer

Finds synonyms and related concepts and understands fact filters such as “with a 3D model”. The vector explorer shows what the index actually found.

Catalog assistant

Answers natural-language questions over the matching products, in whatever language the question was asked. Source products are shown with the answer.

Help assistant

Bottom right on every screen. It knows the user manual, takes the open screen into account and explains the menu › screen › button path in its own words.

Report assistant

Turns a question such as “certificates expiring in the last 90 days” into the right report and parameters, and summarises the result briefly.

Product intelligence

Demand velocity, stock-out risk, reorder point and a reasoned supplier risk score, with a “what to do” hint per row. When data is insufficient it produces no forecast and says why.

Automatic translation drafts

When a new country is prepared, product, category and attribute names are translated into the tenant's language, with script checks for Cyrillic and Arabic. The result is submitted for user approval.

Supply and partners

Supplier, dealer and seller: each in their own portal.

The portals are not separate applications; they are areas of the same platform opened only to external users. Every partner sees only its own records, and prices and margins never leave the organisation.

Supplier portal

  • Confirm or reject order lines with a reason; advance shipping notice (ASN)
  • Capacity-based dock appointments; 15-minute grid, partial shipments
  • Product proposals with buyer review; scorecard and disputes
  • Users created by invitation; administrators can simulate a supplier

Dropship

  • Offers per product × supplier with supplier stock and priority
  • Automatic routing from sales; purchase order first, released to the supplier after approval
  • Shipment packages, packing slip, returns cycle
  • Machine interface for suppliers; sales price and margin are never sent

Receiving and warehouse

  • Dock capacity, vehicle type, hourly closures, location opening calendar
  • Dock occupancy view; day plan and daily sheet PDF / Excel
  • Receiving discrepancy → automatic non-conformance record
  • 2D layout estimate from docks and warehouse areas

Dealers and franchise

  • Contract terms as data: royalty, marketing fund, price policy, minimum order, credit limit
  • Order → approval → shipment → channel stock; sales and count reporting, replenishment hints
  • Settlement periods: publish, dispute, resolve, paid
  • Price-violation tracking and partner scorecard

Marketplace operations

  • Seller offers, order splitting, acceptance window, shipping methods
  • Commission and fee rules, payout statements, commission invoices
  • Incidents (damage, shortage, delay) and ratings; quality thresholds
  • Public seller application form

Store map

  • Shelf map by aisle, gondola and level; overflow warnings
  • Automatic shelf placement suggestions from sales data
  • Upload a 3D store model scanned with a phone and place shelves on it
  • Store-level sales analysis and stock view
Sales and customers

From campaign to call centre.

Orbis Nexa is not a consumer cart or payment system. Orders arrive from the connected sales channels; campaign calculation, customer records, shipment tracking and reports live here.

Campaign engine

  • Conditional rules, priority, budget and usage tracking
  • Scope: category, brand and product combined; live product count
  • Promotion stacking with a configurable total-discount cap
  • Gift cards and vouchers: code + PIN, usage ledger; country and market scope

Customer data platform and CRM

  • Customer 360°: profile, addresses, per-channel consent (KVKK / ETK), orders
  • Rule-based segments; B2B accounts, membership tiers
  • CRM: call, complaint and request records; deal pipeline
  • Retention policy removes expired data

Call centre console

  • One box for name, phone, e-mail, order or tracking number
  • Order detail and shipment timeline; link to the carrier's tracking page
  • Agent notes and shipment status updates
  • Shipment events arrive through integration or are entered manually

Sales reports

  • Daily, store, channel, product and monthly trend reports
  • Report designer: dimension, period, filters; custom reports also reach the assistant
  • Previous-period comparison, CSV download
  • Stock, purchasing and partner datasets

Storefront and URLs

  • Product and category pages, search; routes in the tenant's language
  • URL structure management: pattern and address book; old addresses redirect
  • SEO health report, sitemap
  • Rate limiting on anonymous access

Tracking SDKs

  • Ready-made tracking libraries for web, iOS, Android and Huawei
  • Page, product and cart events go only to your own server
  • No third-party dependencies, no licence fees
  • Consent gate for privacy-compliant collection
Integration

Talks to every system, in plain language for non-technical users.

The screens answer “what do we send, what comes in” in plain words. The building blocks (connectors, flows, field mappings) sit in a separate advanced menu; most users only use the platform centre.

Platform centre

  • Ready-made platform packages: Shopify, Trendyol, Hepsiburada, N11, Ozon, Wildberries, Ticimax, Akinon, SAP Commerce, SAP S/4HANA, Odoo, Dynamics 365, Logo, Oracle Fusion
  • Markets: country, currency, price channel and customer pool
  • Bulk sending and event-driven automatic sending; preview
  • Health status and open DLQ count at a glance

Inbound requests

  • Per-endpoint identity: Token, Basic or JWT; signature and IP allow-list
  • JSON, XML / SOAP and GraphQL bodies; ready-made templates and sample payloads
  • Dry run: what will be created or updated is shown in advance
  • Duplicate protection and replay of stuck requests

Outbound notifications

  • 45 platform events in plain language; “What do we send?” card
  • Receiver authentication and event filter
  • Flow and export logs in a single list
  • Every delivery stored with request and response

Service connectors

  • REST, GraphQL and gRPC; outbound and inbound
  • Auth recipes: API key, Basic, Bearer, OAuth2, custom token endpoint
  • Token cache; secrets stored encrypted and masked on screen
  • Test console: request and response shown instantly

Flow designer

  • Drag-and-drop steps; like a test case: “given → steps → expected result”
  • Triggers: manual, platform event or schedule
  • Dry run; every run stored step by step
  • Variable, wait and assertion steps

Field mappings and DLQ

  • Every product attribute can be mapped; drag-and-drop source tree
  • Ready mapping templates for migration from legacy PLM systems
  • Dead-letter queue per integration; exponential automatic retry
  • Single and bulk resend, discard, reopen

Shipped with the product: API reference, Postman collection and an illustrated user manual.

Administration and security

Countries, permissions, licence and protection.

Every request is authorised first at the entry layer and then inside the application itself. Permissions are granted through ready-made packages; the menu shows only the screens the user is allowed to open.

Countries and languages

  • Each country has its own data space, single currency and language; “Prepare country” in one click
  • Country permissions per user; the Türkiye team sees only Türkiye data
  • Interface in 9 languages: Turkish, English, German, Russian, Romanian, Dutch, Arabic, Portuguese, Spanish
  • Isolated installation per customer with its own subdomain

Permission packages

  • 28 ready-made packages: specialist / manager pairs, auditor, reporting analyst, external portal users
  • Package wizard: pick modules → suggested packages → assign users
  • Permission matrix and custom packages
  • Three editions: Essentials, Professional, Enterprise; packages install according to the licence

Identity and access

  • Single sign-on with your corporate identity provider
  • Automatic sign-out after 10 minutes of inactivity; brute-force protection; password policy
  • Audit trail and electronic signature records

Access protection

  • Only a single entry point is exposed externally
  • Rate limiting and request-size limits; shared counters on multi-server installations
  • AI components can be kept on an internal network if required

Data

  • All input is validated; error responses leak no internal detail
  • Upload type and size are validated; secrets are encrypted
  • Configurable cap on stacked discounts
  • Retention policy removes expired data

Licence and operations

  • Signed offline licence; modules open through feature gates
  • Health checks, monitoring dashboards and alerts
  • Maintenance screen: retention, reindexing, media migration
  • Static code analysis and vulnerability scanning are part of the release pipeline
Known limits

We also say what we do not do.

These matter for a purchase decision too. The items below are the limits of the current release; some are on the roadmap.

  • Proprietary CAD formats are not read directly. Native SolidWorks, CATIA or NX files need a licensed converter. Supported: STEP, IGES, BREP, GLB, GLTF, STL.
  • Sales channel connections are not yet verified against real accounts. The Shopify and SAP Commerce connections and the ready-made platform packages were tested against simulated servers; they are verified together in the customer's real store and ERP environment.
  • There is no consumer cart or payment collection in Orbis Nexa. Orders arrive from the connected sales channels. Marketplace seller payouts are not executed automatically; a payout statement is produced and payment is made in accounting.
  • The call centre does not pull live shipment status from carriers. Events arrive through integration or are entered by the agent; there is no telephony link (CTI) that opens the incoming call automatically.
  • The warehouse layout is an estimate. The floor plan derived from dock and area capacities is not an architectural drawing; a measured editor is on the roadmap. Shelf scanning from store photos needs a vision model and does not run on small servers.
  • High availability is not promised on a single server. A continuous-operation target needs a multi-node cluster and a redundant data layer; the installation profile is ready, the environment is provided by the customer.
  • Assistant quality depends on the size of the local model. With a small model answers may occasionally contain an extra step; a larger model needs more memory. Answers are shown with their sources, and the user stays in control.
  • No formal compliance certification is claimed. Electronic signature and audit trail were designed with 21 CFR Part 11 requirements in mind; certification depends on the customer's own audit process.
Next step

Let us set up a demo environment with your own data.

We load a sample of your data through an import profile and walk through the engineering, supply, dealer and campaign flows end to end. The environment can run on your servers or in our demo environment.
